When your customers make a reservation, this module is used to text back their trip details with more information than what is available from the system. This module is important because it gives the customer an opportunity to reply back and correct any data entry mistakes such as the pickup address or due time prior to the order being dispatched. Without this added benefit, mistakes may be realized post-dispatch after a driver has already wasted time and fuel on the mistake, resulting in both an unhappy customer and an unhappy driver. This module computes and confirms several variables and presents it to the customer so they have reassurance that you received their order, for what time, date, address, and more. When an order is created for 23:59, a different message goes out to advise the customer that you have their will-call return trip ready.

Our robust portal system can be used by your dispatch or call center operations to alert virtually anyone you would like within your team regarding specific situations so that your whole team is informed at the same time. This module communicates the portal entry via E-mail as standard, but it can be customized to send SMS/Text and even send the portal ticket to Slack if your organization prefers for an additional cost. Long gone are the days of having your dispatcher try to call everyone and pass along information. Now you can ensure your whole team is on the same page, with the same details, at the same time.

- Independent Operation: This module is independent from any dispatch system as it requires your team to input the information.
- Unlimited Categories: All categories are setup specifically for your business and the types of alerts you would like to communicate.
- Unlimited Questions: If a specific category is selected, you get to set the follow-up questions that may or may not be required to submit the portal ticket.
- Advanced Notification: While communication via E-mail is standard with this module, it can send SMS messages for select alerts and/or submit the portal ticket directly to Slack for your team to view and discuss.
- Instant Results: When your dispatcher submits the form, the results are E-mailed to your specified team at the same time. To discuss the portal ticket, your team simply clicks “Reply to All” to include everyone who received the alert in the discussion.
- Searchable Data: By sending this data to your E-mail inbox, we’re essentially creating a database that can be searched by keyword when you’re looking for specific incidents within your mail client. Automated SMS Responses creates the ability for your customer to receive an automatic reply to their text with specific information if they text you a specific word. This can be for a promotion, contest, and if you have flat rates/fixed fares from certain zip codes to specific destinations, it can automatically reply with prices for that zip code. For example, if they text you their zip code such as 85034, the system can reply back with their flat rates or give them a link to tap that has more detail. This module is constructed from scratch based on your needs and the cost is directly associated with the time and labor involved to configure it to your desired operation.

Active Fleet Texting gives you the ability to text only those drivers who recently drove for you, anywhere from today to eight weeks ago, to all of their cell phone numbers at the same time as opposed to the current standard of texting “All offline drivers” who exist in your system from the beginning of time. This module can also be configured to add/remove drivers from specific texting groups and you may text the groups as needed (Additional development time applies).
Module Features:
- Custom Range: Rather than texting all of the drivers that are in your dispatch system, this module will only text your recently active drivers with an active date range from today to sixty (60) days ago.
- Automatic Updates: This module updates to the driver’s newest phone number on file and deletes old drivers from the contact system automatically.
- Multi-Area Capable: Text only drivers that are in a specific range of vehicle numbers, implying different territories, to communicate with only them as to not inform drivers on the other side of town (You can do that too if you prefer).
- Secure Interface: Each of your staff members who intend to use this module are given their own unique PIN that is required to authenticate sending and log where the message from relayed from. This also includes IP address information.
- E-mail Alerts: If the authentication succeeds and a message is sent to your fleet, you are sent a receipt of the message, where it was sent, by who, and much more via E-mail. Likewise, if the authentication fails, you are informed of the attempt in great detail.
- Misuse Filter: While actively expanding and not a complete guarantee, specific words, phrases, and more, have been built in to block communication in every effort to prevent an offensive message from being relayed.

This module will listen for common cancellation phrases from the customer through text message and perform a series of actions that include cancelling the job, thanking the customer for informing you of their cancellation, and confirming the address of the order they have cancelled. No more missed cancellations because your team was too busy and did not notice, no more slacking on sending the customer a proper thank you in return.

- Custom Words/Phrases: The module listens for specific words/phrases such as: cancel, please cancel, cancel please, sorry cancel, cancel sorry, cancel ride, cancel taxi, cancel trip, please cancel my taxi, please cancel taxi, please cancel my ride, please cancel ride, etc… and more can be added to suit your geographical location’s common phrases for cancelling an order.
- Works on Multiple Order Types: This module is built with the logic to understand if the customer has one active job, one active and/or more prebook jobs, no active jobs, one or multiple prebook jobs with no active jobs, and more, to best determine and properly handle the customer’s cancellation request automatically and efficiently.
- Courtesy Text to Customer: Once the order is cancelled, the customer is automatically sent a text thanking them and confirming the address of the pickup they no longer desire. For example, the customer would be sent: “Thank you for letting us know, we have cancelled your 7:30 PM booking at 2710 E. Washington Street, Phoenix, 85034.” It is important to respond positively if a customer no longer desires to book with you as you want that door to remain open if they decide to book with you in the future. You do not want to give the impression that you are upset about their cancellation by sending a generic “Thanks” message, or worse, no response at all.
- Documented Order Notes: A note is added to all ASAP cancellations indicating the date/time the job was cancelled and how. This allows your staff to know what happened when it counts. Example: “Job cancelled 13:21 on 12/5/2018 through Zipwhip” or any custom message you would prefer be saved to the job.
- Logged Requests: All requests to cancel their active or upcoming jobs are logged. This includes the customer’s phone number, phrase they sent, original order due date/time, order type, and more, for quick reference.
- Mapped Responses: Request more information about this module to learn exactly how it works under specific ASAP and prebook conditions. Changes can be customized to suit your business model.

For administrative and/or authorized personnel only, allow them the ability to text you a specific taxi vehicle number and, if authorized, they will automatically be sent back the driver’s full name and phone number via text for them to communicate with that driver. If you have driver coaches who do not have access to your dispatch platform, or if you want to make the process of finding out driver information more convenient, this module is ideal for you.

- Authorized Users Only: This module will only reply to specific users by way of identifying the incoming phone number. If the phone number is on the allowed list, the module will send the driver details back to that phone number. If the phone number is not on the allowed list, the request will be ignored.
- # or No #: The authorized user can text in the taxi number with or without the # in front of it and the system will respond with the same information. This makes training easier for the people who need to use the tool.
- Custom Formats: The system can respond with simple information such as the driver’s name and phone number, or it can also include other details such as the vehicle information and more.
- Logged Requests: All authorized requests made through this module are logged for reference. This will include the phone number who requested the information, date/time, and the taxi number they requested details about. This allows you to reference and monitor the activity of the personnel requesting these details.
